Flat-Rate Firm CRM for Small Advisory Practices
A system-of-record CRM for small RIAs and independent advisory firms, priced per firm not per seat, with archiving and migration included.
Founder thesis
Incumbents just taught small firms to hate per-seat pricing. Redtail sold a flat $99/mo for up to 15 people until 2023, then switched to per-user, so a 15-seat firm now pays about $885 to $975 a month. Wealthbox then raised Pro from $55 to $75 in under two years. I am betting that firms whose headcount includes CSAs, ops and compliance staff will pay for a flat firm price, and that whoever sells and delivers migration wins, because migration dread is what keeps firms on Redtail.
What others got wrong
Redtail moved from a flat $99/mo for up to 15 people to per-seat pricing in 2023, so a 15-seat firm went from about $99/mo to roughly $885 to $975/mo.
Wealthbox raised Pro from $55/mo to $75/mo in under two years, and the flagship update an r/CFP poster could name was an expanded search bar.
Storage is metered as a tier gate, 2 GB on Basic up to 20 GB on Enterprise, which an r/CFP advisor read as a lever to push buyers up a tier, not a real limit.
Redtail let the product stall. An r/CFP quote in Financial Planning says there has not been a significant feature update in years.
What should work
Bill the firm, not the seat. A flat $149/mo firm plan with unlimited seats and archiving lands roughly 75 to 80% below a 10-seat firm on current Redtail Growth or Wealthbox Pro rates.
Sell migration as the product. Wealthbox made branded switch-from-Redtail pages a primary path and marketed most firms live in two to three weeks.
Ship native custodian and planning integrations so advisors stop wiring things through Zapier.
Bundle unlimited compliant email and text archiving and storage instead of metering them per tier.
What kills it
- More than half of target firms may name migration and integration risk as a harder blocker than price, which kills a price-led wedge.
- Wealthbox has $200M to widen its feature and integration gap while you build.
- A flat $149/mo firm plan only works if you avoid the incumbents' integration and compliance costs, which is unproven.
- Incumbents can re-price down and erase the discount.
What users want
5One flat price per firm instead of a bill that grows with every seat.
An advisor quoted in Financial Planning called Redtail a super value at $50 to $60 a month for my office before the repricing.
Storage that is not metered to push them up a tier.
An r/CFP advisor asked whether 5 GB on Pro versus 10 GB on Premier was a legitimate constraint or a pricing lever.
Price increases that match real improvement.
An r/CFP poster wrote that Wealthbox Pro went from $55 to $75 in under two years and the big update was an expanded search bar.
Integrations that work out of the box without Zapier, and fewer clicks to reach a contact list.
An advisor switching away from Wealthbox said the integrations were not that great and many require Zapier.
Feature updates on a product they already pay for.
An r/CFP quote in Financial Planning said there has not been a significant feature update to Redtail CRM in years.

What customers complain about
6| Gap | Src |
|---|---|
Per-seat repricing hits small firms that carry CSAs, ops and compliance staff who consume seats but bring in no revenue. A 15-person firm that once paid Redtail $99/mo flat now pays about $885 to $975/mo. | |
Storage is a tier gate, not a real limit. An r/CFP advisor questioned whether 5 GB versus 10 GB was a real constraint or a lever to sell the next tier. | |
Price rises faster than the product. Wealthbox Pro went from $55 to $75 in under two years, and another advisor says Redtail jacked up prices 5x without adding much. | |
Integrations underdeliver and the UI is click-heavy. An advisor switching from Wealthbox said many integrations need Zapier and reaching a contact list takes too many clicks. | |
Redtail stagnation is a named complaint. An r/CFP quote says there has not been a significant feature update in years, and 2022 brought two minor tweaks. | |
Migration dread is the main retention tool. Wealthbox's own page says the top reason firms stay on Redtail is that switching feels daunting, so a challenger must sell and deliver migration. |

Your angle & pricing wedge
| Piece | Claim | Src |
|---|---|---|
| Angle | A CRM and client-operations system for small advisory firms of roughly 3 to 30 people, priced per firm with unlimited seats, unlimited compliant archiving and storage, native custodian and planning integrations, and migration included. The catch: integration breadth, compliance archiving and broker-dealer affinity deals are real incumbent strengths, so this is a wedge only if migration and native integrations are genuinely delivered, and that is unproven. | |
| Wedge | Bill the firm, not the seat, and stop metering storage and compliance as tier gates. Redtail itself sold a flat $99/mo for up to 15 people before 2023 and advisors called it a super value at $50 to $60 a month, so on current published rates a 10-seat firm pays about $590 to $650/mo on Redtail Growth against $750/mo on Wealthbox Pro, and a flat $149/mo firm plan lands roughly 75 to 80% below those. It only holds if the entrant avoids the incumbents' integration and compliance costs, which is unproven, and incumbents can re-price down. |
How others got traction
3| Move | Why | Src |
|---|---|---|
| Wealthbox displaced Redtail as the #1 CRM by market share with branded switch-from-Redtail and switch-from-Salesforce pages plus done-for-you data migration. | It turned migration dread into the conversion path, marketing most customers as fully migrated in two to three weeks. | wealthbox.com✓ |
| Redtail moved from flat pricing, $99/mo for up to 15 people, to per-user pricing starting at $45/mo in 2023. | Brian McLaughlin said it reflected aligning pricing with the industry standard, advisor Noah Damsky said Orion likely saw a sticky user base with low per-headcount revenue, and 13% of Redtail users then considered switching. | financial-planning.com✓ |
| Wealthbox raised its Pro price from $55/mo to $75/mo within about two years. | No company explanation turned up, and high switching costs let the incumbent reprice, which is the window a fixed-price entrant can exploit. | reddit.com· |
Market heat
Kitces' August 2025 AdvisorTech Report, cited on Wealthbox's own comparison page, says Redtail lost the #1 market share spot to Wealthbox after a multiyear slide in satisfaction. It is a self-serving citation and Redtail disputes the rank, so treat it as contested.

Should you build this?
The category monetizes and the pain is dated and documented, but this is still a distribution and migration business, not a product-moat business. Demand evidence: Redtail went from a flat $99/mo for up to 15 people to per-seat pricing in 2023, a 15-seat firm now faces about $885 to $975/mo, Wealthbox raised Pro from $55 to $75, T3 found 13% of Redtail users considering a switch, and Wealthbox reported 15,000+ defectors, though the #1 market share framing is contested. The hard parts are that migration dread is the lock-in, integration breadth and compliance archiving are real, and Wealthbox now has $200M to widen the gap. As a solo founder, do not build the product first. Run the test: recruit 20 small independent advisory firms on Redtail or Wealthbox, collect each firm's last 12 months of CRM invoices and actual seat count, have each compute annual cost on a flat $149/mo firm plan with unlimited seats and archiving, and require a paid annual pre-order from at least 5. Kill it if fewer than 5 pre-pay, if more than half name migration or integration risk as a harder blocker than price, or if fewer than 8 of the 20 can show a year-over-year CRM price increase without a matching feature they value.
