Flat-Per-Firm Legal Practice Management
Practice management for small law firms that bills the firm once, with unlimited seats and all core features included, not per-user seats plus add-ons.
Founder thesis
Small law firms get billed per seat and per add-on, so cost rises with headcount and not with the size of the firm. A 5-attorney, 3-staff firm can list at $912 to $1,112 a month for tools most staff only partly use. I would bet a flat per-firm price wins the staff-heavy end of that market, though nothing forces a switch right now, so the timing case is weak.
What others got wrong
Features sit behind higher per-user tiers. Clio's Starter plan lists conflict check, document templates, matter templates and full-text document search as No.
Accounting is a paid add-on. MyCase sells MyCase Accounting at $39/user/month on top of plans priced $50 to $130/user/month.
Per-seat billing keeps running for people who left. A firm says a 3-year Smokeball deal billed 9 users while 6 staff worked there, about $7,506 for the rest of the contract.
Prices rise and add-ons stack. A Clio Complete plan is reported moving to $1,609.20 per user per year.
What should work
Charge one flat price per firm and include trust and operating accounting, conflict full-text search and templates in the base plan. MyCase charges $39/user/month for accounting alone and gates conflict search.
Aim at the staff-heavy firm. The complaints describe assistants who need billing-only access and firms still billed for former employees.
Get listed as a bar-association member benefit. Clio reports approval by 100+ bar associations and law societies, including all 50 US state bars, and MyCase claims 130+ partnerships.
Seed law schools and clinics so graduates learn the tool before they buy. Clio's Academic Access Program reaches 200+ law schools.
What kills it
- The whole wedge is a pricing model, and pricing is copyable. Clio or MyCase could launch a flat plan.
- Switching means moving matter history, trust ledgers and documents, which users say took weeks and manual work, so savings may not beat migration risk.
- Bar approval and law-school seeding favor incumbents and cannot be bought quickly.
- Every complaint behind this idea sits on a Reddit or G2 page that would not load, so the demand is unproven.
What users want
5A cheap billing-only seat for an assistant.
A Reddit r/clio user wrote, 'I wish Clio offered a lower-cost billing-only tier... It is insanely expensive to delegate billing!'
To stop paying for seats nobody uses.
A Reddit r/LawFirm poster said Smokeball charged for 9 users while 6 staff worked there, about $7,506 for the rest of the contract.
Fixes to features they already pay for, not another fee.
A Reddit r/LawFirm user said MyCase wanted another $120 per user, per year for full-text conflict search.
A price that holds and no forced features.
A Reddit r/LawFirm poster said Smokeball raised their fee from $169 to $269 for features 'I did not ask for and do not need'.
A way out without losing data or money.
A Reddit r/Lawyertalk commenter said a prior firm found it 'close to impossible to migrate client data away from clio' and did it largely manually over weeks.

What customers complain about
9| Gap | Src |
|---|---|
Useful features sit behind higher per-user tiers. Clio's Starter plan marks conflict check, document templates, matter templates and full-text document search as No; MyCase sells accounting as a $39/user/month add-on on top of a $50 to $130/user/month plan. | |
Per-seat billing charges for support and assistant seats that use only part of the product. A firm owner wanted billing-only access for an assistant but was told the only option was a full license equal to the owner's, and any other Clio add-ons too; the owner wrote 'I really wish Clio offered a lower-cost billing-only tier... It is insanely expensive to delegate billing!' | |
Per-seat billing is reported to continue for departed employees on a multi-year contract. A firm on a 3-year deal with 6 users says Smokeball is 'charging us for 9 users' at $139/month per user, about $7,506 for the rest of the term. | |
Fixes to core features are reported gated behind a higher per-user tier. A firm already on MyCase's top tier says full-text conflict search costs another $120 per user, per year across the whole staff. | |
Published per-user prices are reported to rise yearly and add-ons to multiply. A firm on Clio's Complete plan was told the annual price becomes $1,609.20 per user, and another user reports being pushed to Clio Work at about $200/user/month or Manage AI at $40/user/month. | |
Vendors are reported to bundle features the customer did not ask for and raise the per-seat price. A solo on Smokeball was told the fee moves to $269 from $169 'because they are adding features that I did not ask for and do not need', while the cheaper plan drops PDF and auto time-tracking. | |
Migration and cancellation friction is reported to trap buyers. A firm that cancelled MyCase within 14 days after about five hours of use kept asking for a refund and was told 'per our terms we do not offer refunds', and Filevine users report add-on cancellation blocked by notice clauses buried in the terms. | |
Clunky UX and support decay are reported switching drivers. A firm that moved to Clio expecting it to be 'user friendly' reports per-user charges for matter templates and QuickBooks for check-cutting, and PracticePanther users call support 'abysmal' and say a male partner had to call to get anything done. | |
CosmoLex per-user fees are called expensive by some solo practitioners, and reviewers cite steady price increases. Only a G2 editorial summary backs this, not a user's own words. |

How competitors find customers

|---|---|
| Become an approved bar-association member benefit and co-market through the bars. Clio reports approval by 100+ bar associations and law societies including all 50 US state bars; MyCase claims 130+ partnerships. | mycase.com✓ |
| Seed law schools and university legal clinics so graduates arrive trained on the product. Clio's Academic Access Program reports 200+ law schools, 95% of US law schools and 27,000+ matters created by students in a year. | clio.com✓ |
| Run 'X vs Y' and 'alternatives' pages to catch high-intent switchers. PracticePanther runs a comparison index covering Clio, MyCase, Smokeball, CosmoLex and others, and MyCase runs its own vs-Clio and vs-PracticePanther pages; no vendor publishes a conversion number for them. | practicepanther.com✓ |
Your angle & pricing wedge
| Piece | Claim | Src |
|---|---|---|
| Angle | One flat price per firm, unlimited seats including non-attorney staff, and every core feature in the base plan: trust and operating accounting, conflict full-text search, templates, e-signature, client portal and migration. Honest limit: Clio already includes accounting and a free accountant license on every plan, so the real fight is per-seat pricing and MyCase's $39/user/month accounting add-on, not accounting itself. | |
| Wedge | Bill the firm, not the seat, and fold accounting, conflict full-text search and templates into one plan, aimed at the staff-heavy firm that per-seat vendors tax hardest. The same 5-attorney, 3-staff firm lists at 8 x $139 = $1,112/month on MyCase, $912 on PracticePanther Business Pro and about $1,072 on Clio, so a flat $149/month for up to 10 seats lands roughly 84 to 87% below, though switching is unproven and incumbents could copy it. |
How others got traction
3| Move | Why | Src |
|---|---|---|
| Clio moved law firms to the cloud and compounded to US$500M+ ARR, with 400,000+ legal professionals, 130+ countries, 300+ integration partners and 2,000+ employees. | Co-founder Jack Newton bet on the cloud in 2008, but the durable driver looks like distribution, bar approval plus law-school seeding, not the cloud feature itself; no source isolates the share. | clio.com✓ |
| Clio won approval from all 50 US state bar associations and 100+ bar associations and law societies; MyCase claims 130+ partnerships and 19,000+ firms. | An approved-member-benefit listing is a trust shortcut for a conservative, ethics-bound buyer, and rivals do not publish conversion data for it. | clio.com✓ |
| Clio's Academic Access Program reaches 200+ law schools, 95% of US, 75% of Canada and 33 in the UK, and students created 27,000+ matters last year. | Getting future solo and small-firm lawyers using the tool before they buy is a compounding top-of-funnel channel; the counts are company-reported, not audited. | clio.com✓ |
Market heat
Clio self-reports passing US$500M in ARR in May 2026, profitable, after a US$500M Series G at a US$5B valuation and the US$1B vLex acquisition.
MyCase self-reports 19,000+ firms and 130+ bar-association partnerships on its comparison page.
Clio, MyCase and PracticePanther all publish per-user pricing, and MyCase charges a separate per-user accounting add-on, so per-seat cost scales with headcount rather than firm size.
More ▾Secondhand reports describe switch friction: a Smokeball user is quoted seeing a jump from $169 to $269/mo and being billed for departed employees on a 3-year deal, but those Reddit pages would not load, so the quotes stay unverified.

Clio: US$500M+ ARR self-reported in a May 2026 release, profitable, after a US$500M Series G at a US$5B valuation and a US$1B vLex deal; 400,000+ legal professionals in 130+ countries and 2,000+ employees are on its About page. Company-reported, not audited. | clio.com✓ |
MyCase: 19,000+ firms and 130+ bar-association partnerships, self-reported; no revenue figure published. | mycase.com✓ |
PracticePanther: 'tens of thousands of legal professionals', self-reported; no revenue figure published. | practicepanther.com✓ |
Category arithmetic: a staff-heavy 8-seat firm lists at about 8 x $100 = $800/month on MyCase Pro annual, 8 x ($100 + $39) = $1,112/month with MyCase Accounting, or 8 x $114 = $912/month on PracticePanther Business Pro annual; Smokeball's top tier would be 8 x $219 = $1,752/month using the secondhand figure. Whether a flat $149/month entrant wins that spend is unmeasured. | mycase.com✓ |
Should you build this?
No, not as a software business first. The category pays, but every user complaint behind this idea comes from a Reddit or G2 post that would not load, so the pain is unproven, and a flat price is a feature incumbents can ship, not a moat. The one test to run first: recruit 15 firms with at least 2 attorneys and at least 3 non-attorney staff, at least 8 of them paying for Clio, MyCase, PracticePanther or Smokeball, and ask each for a redacted recent invoice plus one named case in the last 12 months where they wanted to add a seat but did not because of per-seat cost or an add-on gate. Then offer a paid annual pre-order at $149/month flat for up to 10 seats with migration included. Kill it if fewer than 5 of 15 pay up front, if fewer than 8 produce both the invoice and a named skipped-seat case, or if firms say migration risk outweighs at least 60% savings.
